5. What to Photograph Every Time

Minimum HVAC photo package:

  • One overview photo of each major component
  • One clear data plate photo
  • One thermostat photo when testing context matters
  • One photo of filter condition
  • One photo of measured temperature readings if taken
  • One close-up of any defect, staining, corrosion, insulation damage, or condensate issue
  • One limitation photo if access or testing was restricted

The best HVAC photos explain function and context, not just component existence.

If the evaporator area showed rust and prior overflow evidence, the photo should show the pan area and where the staining was located. If a flex duct was disconnected in the crawl space, get both the close-up and the wider context shot so the client understands what the loose duct actually served.

6. Report Language for the Findings Inspectors Actually See

An HVAC inspection report template should save you from empty phrases like "unit old" or "service recommended."

Use location plus observation plus implication plus recommendation.

Example: low cooling differential

"The air-conditioning system operated using normal thermostat controls; however, the measured temperature differential between return and supply air was below the typical expected range after normal runtime. Example: rust and overflow evidence at condensate area

Recommend service and repair as needed by a qualified HVAC contractor."

Example: dirty filter affecting airflow

"The HVAC air filter was heavily loaded with debris at the time of inspection. Restricted filter condition can reduce airflow and system performance and may contribute to component wear. Recommend replacement of the filter and continued servicing per manufacturer guidance."

Example: limited cooling test

"Cooling operation was not fully tested because outdoor conditions were not suitable for standard cooling operation at the time of inspection. No opinion is provided here regarding full cooling performance under normal seasonal conditions."

That style is more useful than dramatic language and more defensible than certainty you do not have.

7. Common HVAC Report Mistakes That Create Callbacks

Mixing system identity

Inspectors lose clarity fast in multi-system houses. Label each system consistently in your notes and photos.

Reporting only conclusions

"HVAC near end of life" is not enough on its own. Describe the observation that led you there.

Forgetting the filter and maintenance clues

Maintenance neglect does not excuse deeper problems, but it is still part of the story and often part of the recommendation.

Skipping limitation language

If the evaporator coil was concealed or the cooling test was seasonally limited, say it. Silence invites assumptions.
