Walking order beats regulation order
Most published pre-trip checklists are grouped the way the rules are written: brakes together, lights together, tyres together. That's a filing system, not a route.
Walk it that way and you circle the truck four times — once for lights, once for tyres, once for anything underneath. In the rain, at five in the morning, that's how checks get skipped: not from carelessness, but because the twelfth lap is when "I already looked at that" starts sounding reasonable.
The order below is one continuous loop. Start at the front with the hood up, work down the driver's side, round the back, up the passenger side, then finish in the cab. Every item gets looked at once, in the place you're already standing.
One discipline that survives any order: call the defect when you see it, not at the end. The gap between spotting a cut sidewall and writing it up is where the specifics go — which axle, which side, inner or outer.

The odometer is the one drivers skip and auditors look for. It's what connects this inspection to a maintenance interval and to the next one. Without it, a stack of DVIRs is a pile of dates with no way to tell whether a defect was found before or after the service that should have caught it.
1. Engine compartment — hood up, before anything (5 checks)
- Oil level — on the stick, not the light
- Coolant level — at the reservoir, cold
- Belts and hoses — cracking, glazing, fraying, play
- Leaks visible — and where; a puddle tells you less than a wet joint
- Overall engine condition
Do this first and cold. Once the engine has run, you can't check coolant safely, and oil hasn't drained back so the stick reads low. The order isn't arbitrary — it's the only point in the walk where the vehicle is in the right state for these four things.
On leaks: the useful record isn't "leak — yes". It's which fluid and which joint. Oil, coolant, fuel, hydraulic and washer fluid all look similar on a dark yard floor and mean completely different things. Put a hand on the joint and look at what's on the glove.
2. Brakes (5 checks)
- Brake pedal feel — firm, no sponginess, no fade under steady pressure
- Air pressure build-up — the governor cutting in and out within spec
- Parking brake — holds the vehicle against a gentle pull
- Brake adjustment — pushrod travel within limits
- Overall brake condition
Air pressure build-up is a timed test, not a glance. Build to governor cut-out, then check the pressure drop with the engine off and the brakes applied. A leak-down rate outside limits is the single most common out-of-service defect in roadside enforcement, and it's invisible unless you actually sit there and watch the gauge.
Brake adjustment is where "looks fine" fails. Pushrod travel past the limit is a defect whether or not the truck stops adequately in the yard — the margin you've lost only shows up on a long downgrade.
3. Tyres and wheels (6 checks)
- Left front tyre

- Tread depth — Adequate / Marginal / Below Minimum

The form separates the four positions on purpose. "Tyres — OK" is a single tick covering ten or more tyres, and it's how a flat inner dual gets missed for a week.
The inner dual is the check. It's the one you can't see without crouching, and it's the one that fails, because a deflated inner carries no load and its partner carries double until it lets go. Thump them or gauge them — a visual on a dual pair tells you almost nothing.
Tread depth is a number with a legal floor — in the US, 4/32" on steer tyres and 2/32" elsewhere. The form's Marginal option exists so you can flag a tyre that's legal today and won't be next month, which is the difference between planned replacement and a roadside violation.
Also look for: sidewall cuts and bulges, tread separation, exposed cord, mismatched sizes on an axle, loose or missing wheel nuts, and rust streaks running from a nut — which mean it's been working loose.
4. Lights and signals (6 checks)
- Headlights — high and low
- Taillights
- Turn signals — both sides
- Hazard lights
- Clearance / marker lights
- Reflectors — present, clean, undamaged
Walk this one with the hazards on. It turns marker lights, clearance lights and both indicators into a single pass, and it's the only way to check the ones you can't see from the cab.
Reflectors and conspicuity tape are on the list because they're cheap, they're checked at roadside, and a missing one is a violation that costs nothing to prevent and something to explain.
5. Cab safety equipment (7 checks)
- Horn — air and electric
- Windshield condition — chips, cracks, anything in the wiper sweep
- Wipers — blades and washer function
- Mirrors — secure, clean, correctly adjusted
- Seat belt — latches, retracts, webbing undamaged
- Fire extinguisher — Present / Missing / Damaged, charged, in date
- Warning triangles / flares — the full set
The emergency kit is the part that fails silently. An extinguisher goes missing, triangles get used at a breakdown and never replaced, and nobody notices until the day it matters or the day an officer asks. Three separate Present / Missing / Damaged answers rather than one "kit — OK" is what makes that visible.
6. Coupling devices — if you're pulling (4 checks)
- Coupling secure — locking jaws fully closed around the kingpin
- Air lines secured — no chafing, no leaks, properly routed
- Fifth wheel condition — mounting, play, lubrication
- Kingpin condition — wear, damage
Get under and look, then tug-test. The visual on the locking jaws and the tug are two different checks and both are required — the jaws can appear closed and not be locked. A trailer that drops on a turn is the failure this section exists to prevent, and it's unrecoverable.
7. Steering and suspension (4 checks)
- Steering free play — within limits for the box
- Power steering fluid — level and leaks
- Suspension condition — springs, air bags, mounts
- Shocks / struts — leaking, damaged, missing
Look for cracked or shifted leaf springs, missing U-bolts, and air bags that are cut, rubbing or sitting unevenly. On a loaded trailer, an uneven ride height is worth investigating before you drive it.
8. Exhaust and frame (4 checks)
- Exhaust leaks — soot trails are the tell
- Exhaust mounting — brackets, clamps, hangers
- Frame condition
- Frame cracks / welds
Exhaust leaks matter for carbon monoxide, not just noise — particularly on a sleeper. A soot trail at a joint is the visible evidence, and it's easiest to see cold, before the surfaces are too hot to touch.
Frame cracks near welds and around suspension mounts are what to look at. A previous repair weld is a place to look harder, not a reason to look less.
9. Deficiencies, and the signature
One free-text field, and a driver's signature.
This is the field that carries legal weight, and the one most often left blank. A pre-trip with everything ticked and nothing written is common and, in a dispute, close to worthless — it records that somebody pressed buttons.
A defect that's usable to a mechanic has four parts:
- What — "cut in sidewall, cords not visible"
- Where — "left rear, outer, drive axle"
- How bad — "approximately 40mm, across the sidewall"
- Drivable or not — and the driver's judgement, not the dispatcher's
Good: "Left rear outer drive tyre — 40mm sidewall cut, cords not exposed. Marginal. Recommend replacement before next long run."
Not good: "Tyre issue."
What "defect" actually means, and why drivers get it wrong
The rule most drivers have never had explained: a pre-trip records defects that would affect safety or result in a breakdown. Not every imperfection.
That cuts both ways, and both directions cause problems.
Over-reporting — logging a scuffed mudflap and a dirty mirror alongside a brake adjustment defect — buries the thing that matters. A mechanic reading twelve items will triage, and triage is where the real one gets missed.
Under-reporting is worse and more common, because the pressure is always in that direction. The load is due, the defect is marginal, and "it'll do another run" is the most expensive sentence in transport. If the vehicle is unsafe, the driver is the one legally refusing to move it — and that's a protection, not an inconvenience.
The genuinely hard cases are the marginal ones, which is exactly why the form has Marginal and Below Minimum rather than a pass/fail. A tyre that's legal today and won't be on Friday is a planning problem, not a violation — but only if somebody writes it down.
