Xenia alternatives
when per-location pricing is the wrong shape

Xenia is more honest about its own limitations than almost any vendor in this research, which makes writing against it awkward — so this page mostly tells you what they already tell you, and where the shape of the product stops fitting.

Why people are looking

Priced per location, not per user

That is the right model for a restaurant group with forty sites and the wrong one for a single operator. If you are one person, you are buying a unit of pricing designed for an estate.

There is no free tier and no published figure — a fourteen-day trial, then a conversation.

Offline needs WiFi first, and they say so

Their documentation: “Open the audit on the tablet while you still have WiFi.” They also state the use case is sites under two megabytes a minute, and that AI photo interpretation does not run offline.

We want to be fair here: that candour is rare and worth more than a cleaner marketing sentence. But it is a prefetch model, and it means the audit has to be opened somewhere with signal before you go where there is none.

Its voice feature is in the back office, not the field

Xenia's AI writes procedures from speech — “Write complete procedures using just your voice.” That is a manager authoring an SOP at a desk.

Its offline audit product mentions no voice at all. The two capabilities are documented as separate and non-overlapping, which is a clean distinction rather than a criticism.

The other side of it

What Xenia does better than us

Brand standards across many locations, with the scheduling, task assignment and scoring to run them. It raised $12M from PSG in November 2025 and ships steadily.

It also documents its own limits more precisely than we have seen from anyone else in this market. A vendor who tells you their offline mode wants sub-two-megabyte-a-minute sites is a vendor who has measured it.

For multi-location restaurant and convenience operations, this is a well-built product in the right shape.

What the reviews say

Which in this case is almost nothing — and that is worth saying

Research note — not a user review

Xenia has nothing on Capterra dated 2025 or 2026 — the most recent review we could find is from August 2024, outside the window we hold ourselves to. So there is no complaints section on this page. What is here instead is the vendor's own documentation, which is unusually specific about where the product stops, and the pricing model, which is a matter of shape rather than fault.

The alternatives

Every price below is the published list price for a single user at the time of writing. Where offline behaviour is undocumented by the vendor, it says so rather than guessing.

GoAudits

Works offline

$10/user/mo

billed annually; no free tier, 14-day trial

Best for
A multi-site team that wants one audit library, scoring and scheduled reports across several verticals.
Offline
Genuine — “Conduct mobile inspections on your preferred device, even offline.”
Watch out for
Two dated reviews describe the same template-setup friction. Its iOS app was last updated 9 June 2024 and carries 33 ratings, and the in-app subscription is listed at $299.99/yr against a $10/user/mo website price.

Mitti (formerly SafetyCulture)

Works offline

Free for 10 seats

Premium $24/seat/mo billed annually

Best for
A safety or facilities team at more than one site that needs forms, actions and assets in one place.
Offline
Broad. Inspections, actions, assets and reports all work offline; analytics, the template editor and the public library do not.
Watch out for
AI features are now metered per seat, and April 2026 reviewers report changes landing without migration tools.

eAuditor

Works offline

Free for 10 seats

unlimited inspections on the free tier; Premium $9.99/seat/mo annual

Best for
A small team that wants ten free seats and unlimited inspections without a trial clock.
Offline
Genuine — “we made sure our app supports environments where you don’t have an internet connection.”
Watch out for
Almost no independent record exists — three App Store ratings and no Capterra reviews — so there is little evidence either way. No native iPad app.
Platforms
iOS 15.1+ · Android · web

MaintainX

Offline after pre-loading

Free

Essential $20/user/mo annual; Premium $65

Best for
A maintenance or facilities team that wants a genuinely free starting tier and a path up to procedures and asset health.
Offline
Requires a warm cache: “Before you switch to offline mode, you have to connect to the internet so MaintainX can create or update the cache.” The cache size is configurable.
Watch out for
The jump from Essential to Premium is $20 to $65 a user, and offline only works if the app was online recently enough to build its cache.

ReportWalk

Works offline

Free to start

monthly plans for higher volumes

Best for
One person who needs the report finished before they leave the site.
Offline
Photos, voice notes and answers are written to the phone first and sync when signal returns. A whole inspection can run in a basement with no bars.
Watch out for
iPhone only, and it is deliberately not a business platform — no scheduling, no invoicing, no CRM.

Disclosure — this is our site

Where ReportWalk fits

Xenia is priced and built for an estate. We are priced and built for a person.

You walk, photograph and talk; photos carry GPS, time and the weather; the voice becomes written findings; and a branded PDF with a shareable link is finished on site.

No audit needs opening in advance — photos, voice and answers write to the phone's own database first, so there is no warm-cache step before you go somewhere with no signal.

Where we lose

If you run brand standards across many sites and need scores rolled up by location, Xenia is built for exactly that and we are not. We have no multi-site reporting at all.

Questions

How much does Xenia cost?

Xenia does not publish prices and charges per location rather than per user. There is a fourteen-day trial and no free tier.

Does Xenia work offline?

Within a prefetch condition the vendor states directly: open the audit while you still have WiFi. They also note the intended use case is sites under two megabytes a minute, and that AI photo interpretation does not work offline.

Does Xenia have voice capture for inspections?

Its voice feature authors procedures and SOPs — “Write complete procedures using just your voice.” Its offline audit product does not mention voice, so the two are documented as separate capabilities.

How this page was made

Prices come from vendor pricing pages, offline behaviour from vendor help documentation, and quotes from G2, Capterra, TrustRadius, GetApp and the App Store, each carrying its reviewer, source and date. Where a claim comes from a customer rather than the vendor, the page says so. Where something is undocumented, it says that too. Software pricing changes — check the vendor before you decide, and tell us if you find something here that has gone stale.
