MaintainX alternatives
and the cache you have to warm first

MaintainX is the biggest name in this part of the market, it has a genuinely free tier, and its complaint record is thin enough that we are not going to pretend otherwise. The useful thing this page can tell you is a condition buried in its offline documentation.

Why people are looking

Offline requires having been online recently

The vendor's wording: “Before you switch to offline mode, you have to connect to the internet so MaintainX can create or update the cache.”

That is a prefetch model, not an offline-first one. It works well if your day starts in the office and ends in the field. It works less well if you arrive somewhere with no signal and discover the cache is stale or was never built.

The cache size is configurable, which is more control than most vendors give you. The condition still applies.

Free to $65 is a long way to travel

Basic is free forever. Essential is $20 per user per month annually. Premium is $65.

The free tier is real and worth taking seriously. But the features that tend to matter after a few months — procedures, advanced reporting, asset health — live further up, and $65 a user is a different budget conversation from $20.

It is a maintenance platform, not an inspection tool

Work orders, assets, parts, procedures and purchase orders. Inspections happen inside that as a procedure attached to an asset.

Its voice feature reflects that shape: AI Voice Memos, launched 15 July 2025, transcribes spoken notes onto a work order. That is a note attached to a job after the fact, not spoken capture driving a form — a distinction worth understanding if voice is why you are shopping.

What MaintainX does better than anything on this page

A free tier that is not a trial, from a company that raised $150M at a $2.5 billion valuation in July 2025 and is very obviously going to be here in five years. For a small maintenance team that is a rational, low-risk starting point.

Its procedures and asset-history depth are well beyond anything a reporting tool offers, ours included.

If your problem is maintenance rather than documentation, start with their free tier before you read another word of this.

Which in this case is almost nothing — and that is worth saying

Research note — not a user review

We could not assemble an honest complaints section for MaintainX. Exactly one usable critical review dated inside our eighteen-month window turned up, and its app-store listings could not be retrieved during the research. One reviewer is not a pattern, and inventing the other two would be the single thing that would make every other page on this site worthless. What is on this page instead is documentary: the vendor's own offline wording, and the gap between the free tier and the $65 one.

Our offline has no warm-cache condition — photos, voice and answers write to the phone's own database first, so arriving somewhere with no signal is not a problem you had to anticipate.

Where we lose

MaintainX is free at the bottom, enormously better funded, and does a job we do not do. If you need work orders and asset history, this is not a close call.
